Production Coordinator

Location: Los Angeles, CA

THE THIRD FLOOR is the world’s leading visualization company, with offices in Los Angeles and London and teams working on productions around the globe. Since 2004, we’ve partnered with clients to help them plan and explore their stories before filming, using our visual storytelling skills and deep filmmaking knowledge to help directors and studios envision their projects in the earliest stages of production. Founded by artists for artists, The Third Floor is a fun, creative studio where we work on high-profile projects while maintaining a collaborative, small-studio culture. In 2022, we expanded with a dedicated animation department that creates final content for film, episodic, and games. Our work has received multiple Emmy and VES awards, and our clients include Disney, Marvel, Netflix, Amazon, Apple, Universal, 20th Century, and many more.

The Production Coordinator is central to Previs project management. They liaise with all aspects of production as well as help strategize and implement tasks and targets crucial to the delivery of the project on time and on budget.

Project Based. Full Time. Remote Position. Must be in the state of California, Georgia, Texas, Oregon, Connecticut, Florida, New Jersey, New York (Outside NYC), Colorado, Washington, or Canada for remote positions.

Primary Responsibilities:

  • Liaise between vendors, crew, and internal teams to improve cross-vertical information flow
  • Organize dailies, Cinesync and Zoom sessions, rounds and meetings, taking notes and following up on information as necessary
  • Ensure Shotgrid is kept current at all times with notes, shot status and critical information
  • Work with Line Producer and Supervisors to track and manage the artists, meeting internal and external deadlines
  • Support the Line Producer with the schedule
  • Maintain crew actuals and review management with production manager. Support accurate approval of timecards
  • Crew actuals and bid man day management within schedule document and accurate approval of timecards
  • Anticipate and communicate issues to Line Producer and Supervisor to resolve problems quickly
  • Communicate information quickly and succinctly to crew and other departments in person, not just via email
  • Keeping both internal and client contacts list up to date for all associated projects
  • Oversee execution of client deliveries
  • Compiling the project(s) weekly report with input from both Supervisor and Line Producer
  • Arranging wrap meetings and client gift lists
  • Encourage and maintain a positive, upbeat and professional production office, be proactive and solution-oriented for all members of the team, including welcoming new artists
  • Assist Production with additional, ad hoc duties as required
  • The role may require being off-site for periods of time

Essential Skills:

  • Knowledge of digital audio and video file formats
  • Highly organized, efficient and detail oriented
  • Comfortable with a fast pace and constant change
  • Ability to respond after hours for important, timely or urgent matters
  • Team-player who operates in a fast-paced team-oriented setting
  • Passionate about our culture and values in the workplace
  • Strong knowledge of Google Sheets, MS Office packages (including Excel and Word) as well as Filemaker Pro

Desirables:

  • Existing knowledge of production databases, including Filemaker Pro & Shotgrid
  • Specific knowledge of animation or VFX processes/pipelines is a plus
  • Good knowledge of Maya and Photoshop a plus
  • Basic Avid/editorial knowledge

The pay scale is between $20 - $30 / hour based on experience, skillset and other factors. We work an average of 5 hours of paid overtime a week. Additional TTF benefits: Health Insurance (Medical, Dental, Vision), Sick Time, 401k (staff only), PTO (staff only), and additional Perks & Benefits.
